How to view analytics in Invoice Falcon

Understanding how your store uses Invoice Falcon helps you gauge your invoicing volume, track document generation across different types, and monitor the efficiency of your bulk workflows. The analytics dashboard gives you a snapshot of four key metrics — invoices created, quotes generated, total items processed through bulk actions, and number of templates — displayed as stat cards right at the top of your Orders page. These numbers update automatically as you use the app, so you always have a clear picture of your invoicing activity without switching to a separate report or dashboard.

Viewing Your Invoice Falcon Analytics

The analytics section is displayed prominently on the Orders page, directly above your orders list and the draft order list page. Here is how to access it and what each metric tells you about your store's invoicing activity.

How to access the analytics dashboard

  1. Open the Invoice Falcon app from your Shopify Admin.
  2. The Analytics card appears at the top of the page, right above the orders list. It is always visible whenever you visit the Orders page and draft orders page.

The analytics section is titled "Analytics" with the tagline "Your journey with Invoice Falcon, in numbers". It displays four stat cards arranged in a responsive row — two columns on mobile, four columns on larger screens.

Understanding the four analytics metrics

Each metric is displayed as a stat card with an icon, a label, and a number. Here is what each one represents:

  • Invoices — The total number of invoices your store has created through Invoice Falcon. This counts only documents of the "invoice" type and does not include quotes, credit notes, pro forma invoices, or packing slips. Each time you generate an invoice for an order — whether manually from the order detail page or automatically via the auto-send feature — this counter increases by one.

  • Quotes — The total number of quote documents your store has generated. Quotes are a separate document type from invoices and are typically used for draft orders or price estimates before a sale is confirmed. This count tracks only quote-type documents and updates whenever a new quote is created.

  • Bulk actions — The total number of individual items that have been processed across all your bulk actions. This is not the number of bulk action jobs you have started — it is the sum of all items included in those jobs. For example, if you ran one bulk print with 50 orders and another bulk email with 30 orders, this number would show 80. It includes items from all bulk action types: bulk print, bulk download, bulk email, and bulk CSV export.

  • Templates — The current number of invoice templates you have created in Invoice Falcon. This reflects how many templates are saved in your Templates section. If you create a new template, the count goes up; if you delete one, the count goes down.

Tip: The analytics numbers are loaded when you open the Orders page and draft orders page. If you generate a new invoice or run a bulk action from the Orders page (or draft orders page), refresh the page to see the updated counts.

How Analytics Data Is Calculated

The numbers shown in the analytics dashboard are pulled directly from your store's data. Here is how each metric is calculated behind the scenes.

Invoice and Quote counts

Invoice Falcon tracks every document you generate and categorizes it by type: invoice, quote, pro forma, or credit note. The Invoices count shows only documents with the "invoice" type, and the Quotes count shows only documents with the "quote" type. These counts are maintained using cached counters on your store's record, so loading the Orders page does not require a full database scan — the numbers are readily available and displayed instantly.

Bulk actions count

The Bulk actions number is the sum of all total_count values across every bulk action job your store has ever created. Each bulk action job records how many individual orders or invoices it was asked to process. The analytics dashboard adds these together to give you a single total representing all items processed through bulk workflows — regardless of whether those jobs completed successfully, failed, or were cancelled.

Templates count

The Templates metric reflects a live count of how many templates currently exist in your store's Invoice Falcon account. Unlike the invoice and quote counters, this number can go both up and down — it increases when you create a new template and decreases when you delete one.

Known Limitations

  • Analytics only appear on the Orders page. There is no separate analytics page or dashboard in Invoice Falcon v3.
  • The metrics are read-only. You cannot reset, export, or drill down into the individual records from the analytics cards.
  • Invoice and quote counts are lifetime totals. There is no way to filter them by date range, month, or year from the analytics section.
  • The bulk actions count includes items from all statuses — complete, failed, cancelled, and in-progress — not just successfully processed items.
  • Credit notes and pro forma invoices are not displayed in the analytics dashboard. Only invoices and quotes have dedicated stat cards.
  • Packing slip generations are not tracked separately in the analytics section.
  • Analytics numbers are loaded once when the page opens. They do not refresh automatically in real time — you need to refresh the page to see updated counts after performing actions.
  • If your store is new or you have not yet created any invoices, quotes, or templates, all four metrics will display 0.

Troubleshooting

Symptom

Likely Cause

Fix

Analytics section is not visible on the Orders page

You may be on an older version of Invoice Falcon that does not support v3

Confirm your store is using the v3 interface. Contact support if you are unsure which version you are on.

All four metrics show 0

Your store has not yet generated any invoices, quotes, or templates

Generate an invoice from any order or draft order to see the Invoices counter update. Create a template in the Templates section to see the Templates counter update.

Invoice count seems lower than expected

The counter only tracks documents of the "invoice" type

Quotes, credit notes, pro forma invoices, and packing slips are counted separately or not shown. Check that you are comparing the right document type.

Bulk actions count seems higher than expected

The number reflects total items across all bulk jobs, including failed and cancelled jobs

This is expected behavior. The count sums all items from every bulk action regardless of outcome.

Numbers have not updated after generating a new invoice

Analytics data is loaded when the page first opens

Refresh the Orders page to load the latest counts.

Quotes count shows 0 even though I create quotes

Quotes must be generated through Invoice Falcon's quote document type

Drafts in Shopify are not the same as Invoice Falcon quotes. Confirm you are generating quote-type documents within the app.

FAQs

Q: Where do I find the analytics dashboard in Invoice Falcon?
A: The analytics section is displayed at the top of the Orders page and draft orders page. Open the Invoice Falcon app and click Orders in the left-hand navigation menu. The four stat cards appear above the orders list.

Q: Can I see analytics broken down by date range or month?
A: No. The analytics dashboard shows lifetime totals for your store. There is currently no option to filter by date range, week, or month.

Q: Does the Invoices count include credit notes and packing slips?
A: No. The Invoices metric only counts documents of the "invoice" type. Credit notes, pro forma invoices, quotes, and packing slips are tracked separately.

Q: Why does my Bulk actions number seem very high?
A: The Bulk actions metric counts the total number of individual items processed across all your bulk action jobs. A single bulk print job with 100 orders adds 100 to this count. It is not the number of bulk jobs you have started.

Q: Do the analytics numbers update in real time?
A: The numbers are loaded when you open or refresh the Orders page or draft orders page. They do not update live while you are on the page. Refresh the page after generating invoices or running bulk actions to see the latest counts.

Q: Is there a way to export or download analytics data?
A: No. The analytics dashboard is a view-only summary. There is no export, CSV download, or reporting feature for these metrics at this time.

Q: What does the Templates count represent?
A: It shows how many invoice templates you currently have saved in Invoice Falcon. This includes any custom templates you have created. Deleting a template reduces this count.

Q: I just started using Invoice Falcon and everything shows 0. Is that normal?
A: Yes. The counters start at zero and increase as you generate invoices, create quotes, run bulk actions, and add templates. Generate your first invoice from any order to see the numbers begin to update.
