How to Create, View, and Manage Credit Notes
You can now create, view, and manage credit notes directly from the new V3 interface — no need to switch back to the legacy editor. A credit note records a refund or adjustment against an order's invoice, and it prints, downloads, and emails exactly like a regular invoice.
A new Credit notes tab sits alongside Orders and Drafts on your main orders page, showing all your credit notes in one place — with search by credit note number or customer email, date filtering, and pagination.
View Your Credit Notes
- Open the Invoice Falcon app from your Shopify Admin.
- Go to your dashboard page and select the Credit notes tab.
- Use the search box to find a credit note by credit note number or customer email, narrow the list with the date filter, and page through results.
- Click any row to open that credit note's detail page.

Create a Credit Note
A credit note is created from an order that already has an invoice.
- Open any order that already has an invoice generated.
- Click the Actions menu.
- Select Create credit note.

The app clones the order data, assigns the next credit note number using your template's prefix, and opens the new credit note for review.
Print, Download, or Email a Credit Note
Each credit note has its own detail page where you can work with it just like a regular invoice:
- Open the credit note from the Credit notes tab.
- Use the page's actions to Print, Download, or Email it.

Delete a Credit Note
- Open the credit note's detail page.
- Click the Actions menu and choose Delete credit note.
- Confirm in the dialog.

Set the Default Credit Note Template
To control which template is used by default whenever a credit note is created or viewed:
- Go to Templates.
- Open any template.
- In the Default for section, tick the Credit notes checkbox.
- Click Save.
The selected template will automatically apply to new and existing credit notes — including the number prefix you've set on it. Only one template can be the default for credit notes at a time; ticking Credit notes on a new template replaces the previous default.
Known Limitations
- A credit note is created from an order's invoice, so the order must have an invoice first.
- Only one credit note can exist per invoice — creating again opens the existing one rather than making a duplicate.
- Deleting a credit note is permanent and can't be undone.
- Only one template can be the default for credit notes at a time.
Troubleshooting
Issue | Cause | Solution |
|---|---|---|
Create credit note isn't in the Actions menu | The order has no invoice yet | Generate the invoice first, then reopen the Actions menu |
Clicking Create credit note opened an existing one | A credit note already exists for that invoice | This is expected — there's one credit note per invoice; the app opens it instead of duplicating |
The credit note used the wrong template or prefix | A different template is set as the credit note default | In Templates → Default for, tick Credit notes on the template you want |
I can't find Delete credit note | You're not on the credit note's own page | Open the credit note's detail page from the Credit notes tab; Delete credit note appears in its Actions menu |
A credit note isn't in the list | Search or date filter is excluding it | Clear the search box and widen the date filter, then check again |
FAQs
Q: Where do credit notes live?
A: On the Credit notes tab next to Orders and Drafts. Each credit note also has its own detail page.
Q: Can I create more than one credit note for an order?
A: No. There's one credit note per invoice. If one already exists, the app opens it instead of creating a duplicate.
Q: What number does a credit note get?
A: The next credit note number, using the prefix set on your default credit note template (for example, CN-).
Q: Can I email a credit note to my customer?
A: Yes. Open the credit note and use the Email action, just like a regular invoice.
Q: How do I change the template used for credit notes?
A: Go to Templates, open the template you want, and tick Credit notes under Default for. It then applies to new and existing credit notes.
Q: Can I undo a deletion?
A: No. Deleting a credit note is permanent.
