How to Regenerate Invoices from Shopify Orders

Invoice Falcon can regenerate an invoice by re-fetching the latest order data from Shopify. Use this when an order has been updated after the invoice was originally created — for example, if the price changed, items were added or removed, the shipping address was corrected, or the payment status changed. Regenerating replaces the invoice data and PDF with a fresh version based on the current Shopify order.


When to regenerate an invoice


You should regenerate an invoice when:


  • An order was edited in Shopify after the invoice was created (e.g., line items added, removed, or changed).
  • The customer's billing or shipping address was updated.
  • A discount or refund was applied after the invoice was generated.
  • The invoice PDF appears outdated, broken, or failed to generate.
  • You want the invoice to reflect the latest payment or fulfillment status.


Regenerate an invoice


  1. Open the Invoice Falcon app from your Shopify Admin.
  2. Click Orders in the left navigation menu.
  3. Click on the order whose invoice you want to regenerate. This opens the invoice detail page with a preview on the left and template options on the right.
  4. Click the Actions dropdown button at the top right of the invoice preview.
  5. Click Regenerate from the dropdown menu. The option shows a refresh icon next to it.
  6. Wait for the process to complete. You will see a toast notification saying "Regenerating invoice from Shopify order..." followed by "Invoice regenerated" when done.
  7. The invoice preview will update automatically with the latest order data from Shopify.



Tip: If you have a specific template selected in the sidebar, the regenerated invoice will automatically use that template.


What happens when you regenerate


  • Invoice Falcon re-fetches the full order from Shopify, including line items, prices, taxes, discounts, addresses, payment status, and transaction data.
  • A new PDF is generated with the updated data.
  • If the invoice was previously edited manually inside Invoice Falcon, regenerating overrides those edits with the original Shopify order data.
  • The regenerated invoice replaces the previous version. The old PDF is no longer available.


Known limitations


  • Custom invoices cannot be regenerated. Only invoices linked to a Shopify order have the Regenerate option. Manually created invoices (without an order) do not show this action.
  • Manual edits are overwritten. If you edited the invoice inside Invoice Falcon (e.g., changed a line item or added a custom field), regenerating pulls fresh data from Shopify and replaces your edits.
  • Previously sent invoices are not recalled. Regenerating creates a new PDF, but any invoices already emailed to customers are not automatically resent. You will need to send the updated invoice again manually.
  • Deleted Shopify orders. If the original Shopify order has been deleted, regeneration will fail because the order data is no longer available.

FAQs


Q: Does regenerating an invoice change the invoice number?
A: No. The invoice number stays the same. Only the order data and PDF are updated.


Q: Will my customers receive the updated invoice automatically?
A: No. You need to send the updated invoice manually using the Send email or Review & send option in the Actions menu.


Q: Can I undo a regeneration?
A: No. Regenerating permanently replaces the invoice data with the latest Shopify order data. The previous version cannot be restored.


Q: Does regeneration work for draft orders and quotes?
A: Yes. Invoices linked to Shopify draft orders can also be regenerated. The process is the same.


Q: How often can I regenerate an invoice?
A: There is no limit. You can regenerate an invoice as many times as needed.
