How to show footer notes and order notes on your invoice in Invoice Falcon

Footer notes and order notes let you include important information on your invoices beyond the standard order and product details. Order notes display the internal notes attached to each order — useful for special instructions, gift messages, or merchant comments. Footer notes let you add a consistent custom message to every invoice, such as a thank-you note, return policy, payment terms, or legal disclaimer. Together, these fields help you communicate clearly with customers and keep a professional, complete record on every document.

Both fields are located in the Extra information section of the Visual Editor.

  1. Open the Invoice Falcon app from your Shopify Admin.
  2. Click Templates in the left navigation menu.
  3. Click on the template you want to customize (or click Edit on the template row).
  4. Scroll to the Visual editor section and click the Open visual editor button.
  5. In the left panel, click the Extra information section to expand it.
  6. You will see the Order notes and Footer notes checkboxes at the top of this section.

Note: The Extra information section also contains other fields like Store domain, Order barcode, and Paid/Unpaid watermark — those are covered in separate articles.

Order notes

The Order notes checkbox controls whether the merchant's internal order note appears on the invoice.

What it displays

  • When enabled, the order note is displayed in the notes area on the left side of the invoice, positioned between the items table and the footer section.
  • The note appears under a bold "Notes:" heading, styled in the template's accent color.
  • The note content comes from the note field on the Shopify order — this is the note that merchants or staff add through the Shopify Admin order page (or that customers add at checkout if your theme supports order notes).
  • The note is displayed as plain text, preserving any line breaks entered in the original note.

When it appears

  • The order notes row only appears when the order has a note. If the note field is empty, the "Notes:" section is automatically hidden — your invoice stays clean without an empty heading.
  • This means the same template works for both orders with notes and orders without notes, with no manual adjustments needed.

Where it appears on the invoice

The order notes are positioned in the summary area below the items table:

  • Left side: Notes section (order notes appear here)
  • Right side: Totals section (subtotal, discounts, shipping, tax, total)

The notes section takes up approximately 60% of the width, giving enough room for longer notes while keeping the totals visible alongside.

Default state

  • On by default. The Order notes checkbox is checked when you first create or open a template.

How to add a note to an order in Shopify

  1. In your Shopify Admin, go to Orders and open the order you want to add a note to.
  2. In the Notes section on the order detail page (usually on the right side), click the note area and type your message.
  3. Click Save to store the note on the order.

Tip: Customers can also leave notes at checkout if your Shopify theme includes the "Order notes" field on the cart page. These customer-submitted notes appear in the same note field and will display on the invoice when Order notes is enabled.

The Footer notes checkbox controls whether a custom message appears at the bottom of every invoice.

What it displays

  • When enabled, a custom text message is displayed at the very bottom of the invoice, centered and styled in small gray text.
  • The default message is "Thank you for shopping with us!" — you can change this to anything you like using the text field that appears when the checkbox is enabled.
  • The footer message is the same on every invoice that uses this template. It does not change per order — it is a static message you define once.

  1. Check the Footer notes checkbox to enable the footer and reveal the text field.
  2. Type your custom message in the text field. You can write multiple lines if needed.
  3. Click Save at the top of the Visual Editor to apply.

Some common uses for footer notes:

  • Thank-you messages: "Thank you for your purchase! We appreciate your business."
  • Return policies: "Returns accepted within 30 days. Visit our website for details."
  • Payment terms: "Payment due within 14 days of invoice date."
  • Legal disclaimers: "All prices include applicable taxes. E&OE."
  • Contact information: "Questions? Email support@yourstore.com"

Tip: Keep your footer message concise. Since it appears in small text at the bottom of the page, long paragraphs may be hard to read. Aim for 1–3 short sentences.

Where it appears on the invoice

The footer message appears at the very bottom of the invoice, below the payment information section:

  1. Items table
  2. Notes and totals area
  3. Payment information
  4. Footer notes ← your custom message appears here
  5. Store domain (if enabled)
  6. Social links (if enabled)

The footer text is centered, uses a smaller font size, and is styled in gray to keep it visually subtle.

Default state

  • On by default. The Footer notes checkbox is checked when you first create or open a template, with the default message "Thank you for shopping with us!" pre-filled.

  1. In the Extra information section, check or uncheck the Order notes and/or Footer notes checkboxes as needed.
  2. If you enabled Footer notes, type your custom message in the text field that appears below the checkbox.
  3. Review the live preview on the right side of the Visual Editor — the notes update immediately.
  4. Click Save at the top of the Visual Editor to apply your settings.

Note: Changes apply only to invoices generated after saving. Previously generated PDF invoices are not affected — you will need to regenerate them if you want the updated layout.

How to change the "Notes" label

  1. In the Visual Editor, scroll down to the Labels section.
  2. Find the Note label field (it may also show as "Notes").
  3. Replace the default text with your preferred term — for example, "Order Notes", "Remarks", "Instructions", or the equivalent in your language.
  4. Click Save changes to apply.

Troubleshooting

Symptom

Likely Cause

Fix

Order notes section does not appear on the invoice

The order has no note, or the Order notes checkbox is unchecked

Add a note to the order in Shopify Admin, or enable the Order notes checkbox in the Visual Editor

Footer message does not appear

The Footer notes checkbox is unchecked, or the text field is empty

Enable the Footer notes checkbox and enter a message in the text field

Footer message is too small to read

The footer uses a smaller font size by design

Increase the base font size in the Color and fonts section, which will proportionally increase the footer text size

Order notes show on some invoices but not others

Only orders with notes display the notes section — it auto-hides when empty

This is expected behavior. Add notes to orders in Shopify Admin if you want them to appear

Old invoices do not show the updated footer message

Previously generated PDFs are not affected by template changes

Regenerate the invoice to apply the new footer message

FAQs

Q : What is the difference between order notes and footer notes?
A : Order notes display the unique note attached to each individual Shopify order (e.g., special instructions, gift messages). Footer notes display a fixed custom message you write once, which appears on every invoice using that template (e.g., thank-you messages, return policies).

Q : Can I use different footer messages for different templates?
A : Yes. The footer message is saved per template. You can set a different message for your invoice template versus your packing slip or quote template.

Q : Where do order notes come from?
A : Order notes come from the Shopify order's note field. Merchants can add notes through the Shopify Admin order page, and customers can add notes at checkout if your theme supports the "Order notes" field on the cart page.

Q : Can I add HTML or links to the footer message?
A : No. The footer message is rendered as plain text. HTML tags, images, or clickable links are not supported in the Visual Editor footer field.

Q : What is the difference between "Order notes" and "Customer note"?
A : "Order notes" (in the Extra information section) displays the Shopify order note in the summary area with a "Notes:" heading. "Customer note" (in the Customer information section) displays the checkout order note in a styled gray box between the items table and totals. Both pull from order note data, but they appear in different locations with different styling.

Q : Are both fields on by default?
A : Yes. Both Order notes and Footer notes are enabled by default. Footer notes come pre-filled with "Thank you for shopping with us!" as the default message.
